How Does the R&D Tax Incentive Work for Your Business?

The R&D Tax Incentive is an Australian Government program. It helps businesses cut the cost of new technology projects. First, you spend money on eligible research. Then, you receive a tax offset in return. More than 13,000 businesses use it today.

How much can you get back?

For most small businesses, the offset equals 18.5% plus the company tax rate. That makes 43.5%. This rate applies when your turnover stays under $20 million. Best of all, the offset can be refundable. So if it is bigger than your tax bill, the ATO pays you the difference in cash.

For example, a hardware startup spends $85,000 on eligible R&D and earns no income yet. As a result, it receives a $36,975 refund.

Who can claim?

You need to meet a few simple rules:

  • Your business generally must be a company.

  • You must spend more than $20,000 on R&D in a financial year.

  • Your R&D must happen for you, not for a client who pays for it and owns the results.

  • Most of your spending must happen in Australia.

What counts as R&D?

Your project needs a core R&D activity. That means an experiment where nobody can know the result in advance. You test an idea, observe what happens, and aim to create new knowledge.

However, routine work does not count. For instance, building a standard app with a normal tech stack likely will not qualify. Likewise, market research does not qualify.

How do you claim?

First, you register your R&D activities with the Department of Industry, Science and Resources (DISR). You must do this within ten months of the year’s end, and the deadline is generally April 30. Next, you lodge an R&D schedule with your tax return. Finally, the ATO pays any refund after it processes the return.

Why do records matter?

You claim under self-assessment. Therefore, the ATO or DISR may ask you to prove your claim. Keep clear records from day one:

  • Timesheets that mark your R&D time

  • A technical plan and regular project reviews

  • Ledger entries and invoices linked to R&D work

In addition, good bookkeeping services make this much easier. They keep your ledgers tidy, so you can link every cost to your R&D. Also, remember that you cannot claim the same cost as both an R&D offset and a normal deduction.
